1. To abide by the maximum fifty (50) persons as per the government guidelines: Thirty-five (35) randomly selected member will be invited to attend, drawn through a lottery system. Also attending will be the Board members, Scrutineers, and the administrative assistant.
To participate in the lottery, one member per household, must submit the request via email (reply to this email is sufficient) or drop off hard copy (click here for form) to office by Wednesday Sept 9th noon. The draw will take place Thursday Sept 10. All members will be notified as to the results, and a hard copy will be posted on bulletin board inside the Hayloft. Participants will be advised of specific COVID protocols at that time.
If you are not selected, or unable to attend the use of proxy will provide you with the opportunity to express your vote. Proxy must be submitted to the office by Friday Sept 25th 2020 by 1 PM. The actual meeting will be securely broadcast via WEBEX, invite to follow.
2. The standard AGM packages with a copy of the proxy will be sent out Friday Sept 4th.
3. Members can seek clarification on any item prior to the meeting through the Board.
4. These provisions cover everything in the BVA bylaws and Roberts Rules of governance.
